Import your Client user in 2 minutes

Who can use this feature?

System & User administrators only

You've invited a few clients already manually? Great. Now let's show you how you can easily upload everyone by just showing you a few screenshots.

Note: These actions are only permitted for administrators

What to expect?

  • Download the data from your existing system (first name, last name, email and mobile number)

  • Populate 2 excel templates in the same way as you are inviting manually. This is not complicated and will save you a lot of time!

  • Upload each CSV template and all users will receive invitations in one go

  • You can always create more or amend Client teams later.

Create Client teams

  1. As an admin user, navigate to the administration menu and click on Client teams

  2.  Create one client team per team of staff according to your servicing model and add minimum 1 staff member. You can create as many Client Teams as you have groups of staff that service the same clients.

  3. Name the Client teams appropriately (maybe team leader or region?)

  4. Make sure there are no spaces or special characters  (i.e. '-() etc.) 

  5. You can easily add or remove staff members to Client Teams in the future. 

Download the Excel (CSV) template

  1. As an admin user, navigate to the administration menu and click on Clients to download the excel template. Use the images below to help you with the data and format.

  2. Click on the Import button and Download an empty CSV template.

Clients CSV completed example below:

  1. From your external data base create an additional column to amend your mobile number format to the include international code and removing any spaces.

  2. You can use this formula in a separate spreadsheet ="+44" & [cell ref] it will add the '+44 to the cells and paste it as value in the Client CSV column again.

  3. Complete Column G the Group Identifier with the names of the Client Teams created manually in the previous step.

Import the Excel CSV to Qwil Messenger

  1. You can complete as many files as you want (maximum clients is 500 each time)

  2. Select the file and import under Clients

  3. Clients will be created or invitations will be sent.

You will get an error code indicating the row (add 2 due to column titles) where it applies - this could be extra space in role, email used already, contact groups etc.
